Describe the buying context
Share the destination market, intended use, estimated quantity, target timing, and whether the request is for an initial trial or an ongoing programme.
Separate requirements from preferences
List must-have points first. Then describe preferences that may change if they affect MOQ, lead time, or cost.
Make specifications measurable
Use dimensions, materials, finishes, Pantone references, artwork formats, packaging counts, label content, and expected test standards where relevant.
Show what you do not know
It is fine to leave items open. Explicit unknowns help the sourcing discussion focus on alternatives instead of making assumptions.
